The real cost of “please fill in and send back”

Automation3 min read

“Please complete the attached and send it back at your earliest convenience.”

We must see that sentence a hundred times a week, in our inboxes and in our clients’. It feels harmless. It’s actually one of the most expensive sentences in South African business, and nobody ever puts it on a budget.

Try this

Pick one form your business sends out regularly. An onboarding form, a monthly declaration, a booking sheet, an indemnity. Now think through everything that happens to it.

Someone finds the latest version (hopefully the latest version) and attaches it to an email. The client ignores it for a few days. Someone follows up. It comes back, but page two is missing, so someone follows up again. Then it gets retyped or reformatted into whatever system you use. Renamed. Filed. And the old one has to be moved so nobody accidentally uses it.

Say that’s 20 minutes all in, which is generous. Do it 50 times a month and you’ve spent more than two full working days moving information from one box into another box.

And that’s only the time

The stuff that bothers us more is harder to measure.

Every retype is a chance for a typo. Every manual rename is a chance to overwrite the wrong file. Somebody, somewhere, is asking “is this the March one or the April one?” right now. When the one person who knows how the process works goes on leave, it just stops. And if you ever need to prove who sent you what and when, an inbox makes a pretty unreliable witness.

Then there’s how it feels for your client. Download, print, sign, scan, email. In 2026. It says something about how you run things, even if you don’t mean it to.

One of the most expensive sentences in South African business, and nobody ever puts it on a budget.

The fix is removing the loop

A nicer PDF won’t solve this. What solves it is letting the client fill the information in once, on your website, and then letting the website do everything your staff used to do afterwards. Format it, brand it, name it, file it, archive the old one, tell the right person.

We did exactly that for a compliance firm this year, and we wrote about it here. Their clients log in, update their own information, and the documents more or less look after themselves.

A quick gut check

If you can describe a process as “we send it, they fill it in, we fix it, we file it”, it’s a candidate. We’ll share a proper checklist soon so you can score yours. Or you can just send us the form and we’ll tell you what it would take.

Wondering what this could look like for your business? We’re happy to talk it through, no strings attached.
